Prefile
File borrowing
Take it from the archives, fill in the file and hand it over in duplicate. After receiving the documents, start counting the number of documents, sign for confirmation after the number is checked correctly, and bring the documents back to the processing site.
Directory data preparation
According to the requirements of all kinds of file arrangement, record the cataloging data in the file management system. Such as title, file name, responsible person, date, page number, etc. The files, it should be modified.
Untie the bandage
If the binding is not deleted, the files that will affect the scanning work should be deleted. When removing the binding, care should be taken to protect the file from damage.
Page pruning
For documents that are seriously damaged and cannot be directly scanned, technical repair should be carried out first, and the uneven manuscript that affects the scanning quality should be treated accordingly (flattening or ironing, etc.). ) before scanning.
file scan
Scanning mode
(1) Depending on the size of the file format (A4, A3, A0, etc. ), choose the corresponding specifications of the scanner or professional scanner (for example, engineering drawings can be scanned with the No.0 drawing scanner). Large format documents can be scanned by large format digital platform or film digital conversion equipment after microfilming.
(2) The paper is in poor condition, and documents that are too thin, too soft or too thick should be scanned with a flat plate; For documents with good paper conditions, high-speed scanning can be used to improve work efficiency.
Scan color mode
(1) scanning color modes generally include black and white binary, gray scale, color, etc. Color is usually used.
(2) Black and white pages without illustrations and documents with clear handwriting can be scanned in black and white binary mode.
(3) Black-and-white pages, but documents with poor legibility or illustrations, documents with multi-color pages can be scanned in gray mode.
(4) Documents with red-headed documents, seals or black-and-white photos, color photos and color illustrations can be scanned in color mode.
scan resolution
(1) scan resolution parameters should be selected on the premise that the scanned image is clear and complete, without affecting the utilization effect of the image.
(2) When scanning files in black-and-white binary, grayscale and color modes, the resolution should generally be set to 200-300dpi. Under special circumstances, such as small text, dense text and poor clarity. The resolution can be improved appropriately.
image processing
Image data quality check
(1) Check the skewness, clarity and distortion of the image. If it is found that it does not meet the requirements of image quality, it is necessary to reprocess the image.
(2) When the scanned image file is incomplete or cannot be clearly identified due to improper operation, it should be scanned again.
(3) If there is any missing scanned document, make up the scanning in time and insert the image correctly.
(4) If it is found that the arrangement order of scanned images is inconsistent with the original document, it should be adjusted in time.
Correction, decontamination, image stitching and trimming.
(1) deflection images should be corrected so that they are almost imperceptible in vision. Pictures with incorrect direction should be rotated and restored, which is in line with reading habits.
(2) Impurities that affect the image quality in the image page, such as black spots, black lines, black frames and black edges, should be decontaminated. In the process of processing, we should follow the principle of showing the original appearance of the document without affecting the understandability.
(3) Multiple images formed by scanning large format documents in different areas should be spliced and merged into a complete image to ensure the integrity of the digital image of the document.
(4) Trimming the image scanned in color mode to remove the redundant white edges, effectively reducing the capacity of image files and saving storage space.
image storage
Storage format
(1) Image files scanned in black and white binary mode are generally stored in PDF format.
(2) Files scanned in gray mode and color mode are generally stored in PDF format.
Image file naming
(1) Every file in the paper file directory database has a corresponding file number, and the scanned image file of this file is named after this file number. If the image file is relatively large, which is inconvenient for network browsing, it can be divided into multiple image files, and the differences such as A, B and C are added after the file names.
(2) Create folders respectively, name them with file numbers, and store corresponding image files.
Data hook
After storing the scanned image of each paper file in the folder corresponding to the file number, carefully check whether the name of each image file is the same as the file number in the file directory database, and whether the number of pages of the image file is the same as the total number of pages in the file directory database. Through the consistency between the name of the folder where each image file is located and the file number of the file in the archive directory database, a one-to-one correspondence relationship is established, which provides conditions for the batch connection between the archive directory database and the image files.
